Jul 12th, 2007 Friends of the Library Board Meeting

 

Attending Board Members: President; Pamela Bagley, Vice President; Rebecca Haynes and Beth Carlson, Secretary; Karen Woodward, Treasurer; Karen Tyler, Mark Eyerman, Ruth Doiron, and Jen Cary.

Absent Board Members: Robert Pantel

Call to Order: 7:02 p.m.

Approve Minutes, June 7, 2007 – Approved after two corrections:

  • Ruth Doiron was elected Co-Secretary, not Beth Carlson, and added as a cosigner.

Agenda.

Treasurer's Report

 

o       Motion made (Jen) that board only needs to approve the initial request for funding/payments, and not approve it a second time by authorizing accounts payable. Second approval will only be needed if the cost exceeds the initially approved cost (this can be done over email to get payments completed in a timely manner). Approved.

Unfinished Business

 

o       Heritage Days Book Sale was successful in earning $1601.95 (minus $13 due the trustees). A general discussion on Heritage Days followed, with the idea poised that the book sale could occur on Almuni Day if Heritage Day is stopped.

o       Art on a Limb leaves are still arriving, look on the website to see images of the new leaves.

o       Harpoon BBQ Festival: July 28th and 29th the FWL will be doing a bake sale. Last year 3,000 people attended.

§         Harpoon Suggestions:

·        Clear signs declaring it a fundraiser.

·        Clear price signs.

·        Large amounts of a small number of baked goods.

·        Hand held baked goods, nothing requiring silverware/plates.

§         Staffing Volunteers:

·        the bake sale will run from 12:00-8:00 on Saturday (first shift: Mark, Ruth, Beth) (second shift: Mark, Pamela)

·        the bake sale will run from 12:00-5:00 on Sunday (shift: Mark, Rebecca)

§         Baking Volunteers:

·        Jen will send out an email asking all friends to volunteer to bake goods, she will give the phone list to Ruth/Rebecca to make.

·        Baked goods need to be hand-holdable, labeled with ingredients, and in stackable containers. They need to be dropped off at the library from 4pm- 6pm on Friday the 27th. (if that is too early Beth can take donations at her house at 12 Pine Street)

·        Ruth will also be making a volunteer baking sign-up sheet for the front desk at the library.

·        Emergency bakers will be called on Saturday if we run out of baked goods the first day (Karen T., Rebecca).

·        We are looking for a variety of cookies, brownies, sweet muffins, and tartlets (mini-pies).

§          Details

·        Supplies needed: ziplock bags, cardboard boxes, signs (library kids with paint and sheets?), dry erase board, tables, easy-up.

o       Guest Architecture Scholar, Chris Thomas lecturing on Henry Bacon is still scheduled for Wednesday August 1st. With a public afternoon talk at the library and an evening fundraiser at the Juniper Hill Inn.

§         Board approved of using the FWL mailing list to promote this event.

o       Trustees/FWL Potluck at the Fairgrounds on Sunday the 22nd, 1-3pm. Bring food!

 

New Business:

o       Harry Potter Read-a-Thon Saturday 21st: will be using Friends’ tables, some extra hands, and perhaps some funds for refreshments (more information will be emailed out).

o       Library asked for funds to purchase a cordless phone, will first try an extra phone of Rebecca’s.
