August 9th, 2007 Monthly FWL Board Meeting Notes (Revised)

Attending Board Members: Robert Pantel, President; Rebecca Haynes and Beth Carlson, Secretary; Karen Woodward, Treasurer; Karen Tyler, Mark Eyerman, and Jen Cary.

Absent Board Members: Pamela Bagley, Vice President; Ruth Doiron,

Call to Order: 7:05 p.m.

Approve Minutes, July 12th, 2007 – Approved after one correction:

  • President Robert Pantel was absent, and Vice President Pamela Bagley chaired the meeting.

Treasurer's Report

 

  • Review and approval of treasurer’s report. 

Unfinished/Old Business

 

·        Harpoon Bake Sale: was a success and raised $738.25. A draft thank you letter to Harpoon was reviewed and approved to mail out. A general discussion on how various improvements for next year insured, including: larger signs indicating the bake sale, higher prices, having a sample plate, and larger prep time in general to distribute the baking load, and small signs for each item. Mark was thanked for organizing the event. Mark thanked Pamela for her generous baking.

·         Henry Bacon, Library Architecture: event had great local turnout. The afternoon lecture had roughly 30 people and was a slide show of Bacon’s small libraries. The evening event at Juniper Hill was also well attended (all seats full) and was a lecture on the politics concerning the creation of the Lincoln Memorial. Suggestions were made for future events and included trying to meet with the speaker beforehand (to review length and style of presentation) and offering more variety of food. For the fundraiser evening event $5 went to the Historic Windsor and $5 went to the library.

·        Harry Potter Read-a-Thon: had 22 people (not just kids!) in attendance with per-page-pledges, and raised $600.

Friends and Trustees Picnic and Roles: The July picnic between the FWL and the WLT boards was attended by Pamela, Jen, and Beth as well as five trustees. More events like this should be held.

New Business:

 

·        Vermont State Seal T-Shirts: the board approved going ahead and ordering three dozen t-shirts with the state of Vermont seal on them. We will buy them at a $5 wholesale (in cooperation with the Constitution House and Plymouth) and sell them for $10-$15. Beth Carlson will be in charge of all the details (colors, sizes, etc.)

·        Friends and Trustees Roles: A general discussion followed about the roles and responsibilities of the FWL and the WLT. Pamela and Robert met this month with Linda Holloway, and will continue to meet, to determine what divisions need to exist between the two groups and what overlap needs to exist.

1.      In general the FWL exists as a fundraising entity that funds special                 programs/projects that are beyond the scope or responsibility of the library.  Overall, the FWL is very flexible in its goal to support the library.

2.      The WLT are picked by corporation (present and past trustees) and have one member appointed by the selectboard. Though it is not a town department, the selectboard chairman and town treasurer are ex officio members of the WLT. The president of the FWL is also an ex officio member. The WLT are responsible for managing the town funding for the library and all the operating and upkeep costs of the library.

3.       There was miscommunication between the FWL and WLT regarding the Henry Bacon lectures, and the FWL want to clarify that orally mentioning the support from the FWL for the lecturer was very acceptable.

·        The Library Camera: is on the loose, if anyone knows anything about its location please contact the library. Otherwise the FWL said the would help fund a replacement.
